Stakeholder engagement privacy notice

As part of our commitment to inform the public about Awel y Môr Offshore Wind Farm, we invite anyone to join as a stakeholder to receive communications about the wind farm.

What personal information we collect and why

As an important contact for the project, to keep you informed, up-to-date and to make you aware of key activities such as consultation and events we use a stakeholder management tool called Tractivity.

We may also undertake general analysis around stakeholder engagement in order to assess its effectiveness, such as the number/frequency of publications provided or requested.

Our lawful basis is your consent:

We collect the following personal information:

• Name
• Contact Details: email address(es), relevant phone number(s), personal website, social media details e.g. LinkedIn or Skype ID, Organisation name and Job Title linked to your personal details
• Biographical: name, job title(s), details of your role
• Political opinion
• Administrative: Records relating to our professional relationship, enquiries and correspondence, event booking and attendance at events

How we use your personal information

Sharing and disclosure of personal information to third parties

We do not routinely share your personal information with third parties except from Tractivity who provide us with the stakeholder management tool.

We may disclose your personal information when required for:

• Compliance with laws and furtherance of our regulatory functions
• In order to comply with any applicable law, regulation, legal process or government request or in the proper exercise of our regulatory functions
• To protect the vital interests or your or another individual
• To exercise or defend our legal rights

Security

We use appropriate technical, organisational and administrative measures to protect any personal information we process.

Data retention

We retain personal information we collect from you where we have an ongoing legitimate need to do so or to meet our legal requirements or in exercising our official authority.

When we have no ongoing legitimate need to process your personal information, we will either delete or anonymise it or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

Your data protection rights

You have the right to be informed about how and why we collect and use your personal information.

This Stakeholder Engagement Privacy Notice forms part of our work to inform you about the personal information we hold about you and how we use it.

As we have collected and processed your personal information with your consent, then you can withdraw your consent. Withdrawing your consent will not affect the lawfulness of any processing we conducted prior to your withdrawal, nor will it affect processing of your personal information conducted in reliance on lawful processing grounds other than consent.

For the purpose of the Data Protection Act 1998 (the Act), the data controller is RWE.

Information we may collect from you

We may collect and process the following data about you:

• Information you give us. You may give us information about you by filling in forms on our site www.awelymor.cymru (our site) or by corresponding with us by phone, e-mail or otherwise. This includes information you provide when you register to use our site, subscribe to our service and when you report a problem with our site. The information you give us may include your name, address, e-mail address and phone number, financial and credit card information, personal description and photograph.
• Information we collect about you. With regard to each of your visits to our site we may automatically collect the following information:

Disclosure of your information

We may share your personal information with any member of our group, which means our subsidiaries, our ultimate holding company and its subsidiaries, as defined in section 1159 of the UK Companies Act 2006.

We may share your information with selected third parties including:

• Business partners, suppliers and sub-contractors for the performance of any contract we enter into with them or you.
• Advertisers and advertising networks that require the data to select and serve relevant adverts to you and others. We do not disclose information about identifiable individuals to our advertisers, but we may provide them with aggregate information about our users (for example, we may inform them that 500 men aged under 30 have clicked on their advertisement on any given day). We may also use such aggregate information to help advertisers reach the kind of audience they want to target (for example, women in SW1). We may make use of the personal data we have collected from you to enable us to comply with our advertisers’ wishes by displaying their advertisement to that target audience.
• Analytics and search engine providers that assist us in the improvement and optimisation of our site.

We may disclose your personal information to third parties:

• In the event that we sell or buy any business or assets, in which case we may disclose your personal data to the prospective seller or buyer of such business or assets.
• If Awel y Môr Wind Farm Limited or substantially all of its assets are acquired by a third party, in which case personal data held by it about its customers will be one of the transferred assets.
• If we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our terms of use or terms and conditions of supply and other agreements; or to protect the rights, property, or safety of Awel y Môr Wind Farm Limited, our customers, or others. Where we store your personal data

The data that we collect from you may be transferred to, and stored at, a destination outside the European Economic Area (“EEA”). It may also be processed by staff operating outside the EEA who work for us or for one of our suppliers. Such staff maybe engaged in, among other things, the fulfilment of your order, the processing of your payment details and the provision of support services. By submitting your personal data, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

Where we have given you (or where you have chosen) a password which enables you to access certain parts of our site, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Access to information

The Act gives you the right to access information held about you. Your right of access can be exercised in accordance with the Act. Any access request may be subject to a fee of £10 to meet our costs in providing you with details of the information we hold about you.
